How to Manage Application Statuses During Your Job Search
The status field in your job tracker is its most important element. A well-maintained status column gives you an immediate picture of where every application stands. A neglected one is worse than not tracking at all — stale data creates false confidence.
Standard Application Status Stages
A practical status system for most job searches:
Applied: You have submitted the application. Nothing more has happened.
Acknowledged: You have received an automated acknowledgement or a human confirmation. The application is confirmed in the system.
Phone Screen: A recruiter or HR contact has reached out to schedule or conduct a brief screening call.
First Interview: You have been invited to or have completed a first-round interview (could be phone, video, or in-person).
Second Interview / Panel: Progressed to a second or further stage.
Assessment / Task: A technical test, case study, presentation, or assessment centre has been requested or completed.
Offer: A verbal or written offer has been made.
Rejected: You have been informed that you are no longer being considered at this stage.
Withdrawn: You have chosen to remove yourself from the process.
No Response: The application closing date has passed with no response. You may choose to follow up or close this off.
Keeping Status Current
Update your status on the same day that something changes. A recruiter calls: update immediately before you forget the conversation. An interview is confirmed: update the status and add the date to your next action field. A rejection arrives: update, note any feedback received, and close the application.
The habit of immediate update is what keeps your tracker useful. Weekly batch updates create gaps and inaccuracies.
Reviewing Your Pipeline
A weekly five-minute pipeline review is useful discipline. Look at every open application and ask:
- Has anything changed this week?
- Is there a follow-up action I should take?
- Is this application realistically still active?
Applications that have been in "Applied" for more than four weeks with no response from a large employer are often effectively dead — flagging them honestly reduces the noise in your pipeline view.
