How to Keep Track of Which CV You Sent to Each Employer

Tailoring your CV for each application is best practice. But it creates a version control challenge: when a recruiter calls about a role you applied for three weeks ago, you need to know exactly what you said in the CV they received — so your pitch is consistent with your application.

Why CV Version Tracking Matters

Without tracking which version you sent:

  • You may prepare for an interview based on a different version of your CV than the interviewer has
  • A discrepancy between what you said in your application and what you say in the interview signals poor organisation at best and dishonesty at worst
  • If an employer asks a specific question about something in your CV, you need to know what is in the version they have

A Simple Version Control System

Naming convention: Name each CV file clearly: LastName_CV_CompanyName_RoleName.pdf. This creates a unique identifier for each tailored version.

Save every version you submit: Before submitting, save the final version of the tailored CV in a dedicated folder. Archive it there permanently.

Record in your tracker: Add a CV version field or note to each application entry that identifies which file was submitted. Either the filename or a brief description ("standard marketing manager version" or "analytics-emphasised version") is sufficient.

Recovering a Sent Version

For applications made through online portals, some portals allow you to download the submitted documents after submission. Where this is possible, confirm your submitted file is saved.

For email applications, you can always retrieve the submission from your sent folder.

  1. Create tailored CV for this application
  2. Save as [LastName_CV_Company_Role.pdf]
  3. Submit
  4. Add to tracker: company, role, submission date, CV filename
  5. Before any interview or call, open that specific CV file and re-read it

This takes less than five minutes per application and eliminates version confusion entirely.
