Job Application Tracker Template: A Simple Setup That Works

If you are setting up a job search tracker for the first time, the simplest working template is better than the most comprehensive one you never maintain. Here is a practical setup that covers the essentials without over-engineering.

The Core Fields

Application date: When you submitted the application.

Company: The employer name.

Role: The exact job title from the posting.

Location: Where the role is based (remote, city, hybrid).

Source: Where you found it (LinkedIn, Reed, company website, recruiter, referral from [name]).

Status: The current stage. Use a consistent set of options: Applied / Acknowledged / Phone Screen / First Interview / Second Interview / Assessment / Offer / Rejected / Withdrawn / No Response.

Next action: What you need to do and by when. This is your to-do list. Examples: "Follow up if no response by [date]" / "Send thank-you note" / "Prepare for case study on [date]."

Contact: Recruiter or hiring manager name and email.

Salary: Stated range from job description, or discussed range.

Notes: Anything else useful — what the recruiter told you, what the interview format will be, feedback received, culture observations.

Optional But Useful Fields

Job description link: URL saved before the posting is taken down.

CV version: Which CV file you submitted.

ATS score: Your keyword match score when you checked before applying.

Closing date: When applications close (particularly relevant for graduate schemes and public sector roles).

Using the Template

Add each application on the day you submit it. Update the status on the day something changes. Review the "next action" column every morning of your search.

The tracker only works if it is current. A weekly catch-up update is better than nothing, but same-day updates are significantly more useful.
