How to Track Application Status Across Multiple Employers
During a focused job search, it's common to have 15–30 active applications at any one time, each at a different stage with a different employer. Without a tracking system, this is genuinely unmanageable. Important follow-ups get missed, interview invitations get confused, and the cognitive load of keeping it all in your head becomes exhausting.
The Multi-Application Problem
Each employer has its own process. Some use application portals with automated status updates. Some send manual emails at irregular intervals. Some go silent for weeks and then suddenly invite you to an interview. Each employer has a different cadence and a different communication style.
Stages multiply quickly. A single application might progress through: submitted → acknowledged → first interview → second interview → assessment centre → final interview → offer/rejection. With 20+ applications, you're potentially tracking 100+ individual stage events.
Follow-up timing varies. Appropriate follow-up at one employer might be two weeks after submission; at another, following up the next day might seem pushy. You need employer-specific notes to manage this correctly.
Recruiter details get confused. When you're speaking with multiple recruiters across multiple employers, remembering who is who — and what was discussed — becomes increasingly difficult without notes.
The Status Tracking System
An effective application status system uses clear, consistent stages:
Saved: You've seen the role and captured it, but haven't yet decided to apply.
Shortlisted: You've evaluated the role and decided it's worth pursuing.
Applying: You're actively preparing your application — tailoring your CV, writing a cover letter.
Applied: Application submitted. Record the date.
Acknowledged: You've received a confirmation of receipt (not universal — some employers don't send these).
First Interview: Interview invitation received or interview completed.
Further Stages: Second interview, assessment centre, case study, etc.
Offer: You've received an offer.
Rejected: Application was unsuccessful at some stage.
Withdrawn: You've removed yourself from the process.
For each application, you should be able to tell at a glance exactly where you stand.

Your dashboard shows every application and its current stage in one place.
Essential Notes to Capture
Beyond status, certain notes are invaluable at each stage:
When saving:
- Why this role interests you
- Key requirements or skills mentioned
- Application deadline
When applying:
- Which CV version you used
- Whether you included a cover letter
- Where you submitted (direct site, LinkedIn, agency)
After any communication:
- Who contacted you and their name/email
- What was discussed or requested
- Your next action and its due date
After an interview:
- Questions you were asked
- How you answered (for reflection)
- Your impression of the culture
- Next steps and timeline mentioned
These notes are invaluable when:
- You receive an unexpected call and need to brief yourself in 30 seconds
- You're comparing offers and need to remember your impressions
- You're preparing for a subsequent interview stage
- You want to send a thank-you note referencing specific conversation details
Managing Follow-Up
When to follow up: Generally, 1–2 weeks after submitting an application with no acknowledgement, or after the timeframe given by an interviewer has passed.
How to follow up: Brief and professional. Express continued interest, ask politely about timeline. Don't pressure.
When not to follow up: If the employer has a large volume of applications and an automated process, following up rarely changes outcomes. Focus follow-up energy on roles where you've already had human contact.
Use your CVCircuit tracker to note the date you plan to follow up for each application. Set a reminder or review your tracker daily to ensure nothing slips.
The Weekly Pipeline Review
Every week, review your entire tracker:
- What needs follow-up this week?
- What interviews are coming up?
- What offers have timelines I need to manage?
- What applications have gone cold that I can archive?
This weekly review keeps your system clean and your actions current. It takes 20–30 minutes and pays dividends in organisation and stress reduction.
Install the CVCircuit extension from the Chrome Web Store to start capturing applications immediately, and use the Job Tracker to maintain complete visibility across your entire pipeline.
