Cover Letter Format: How to Structure and Present Your Letter

Getting the content of your cover letter right is more important than the formatting, but formatting mistakes can undermine an otherwise strong letter. Here is the standard format for UK professional cover letters.

Standard UK Cover Letter Format

Your contact details: Name, email, phone number, and city. You do not need a full address. These go at the top of the letter.

Date: Today's date, below your contact details.

Employer's name and address (optional): For formal letters submitted by post. For email applications or online portals, this is often omitted.

Salutation: If you know the recruiter's name, use it: "Dear [First Name] [Last Name]," or "Dear [First Name]," depending on the register. If you do not know the name, "Dear Hiring Manager" is acceptable. "To Whom It May Concern" is formal and dated; avoid it.

Body: Three to four paragraphs (see structure advice below).

Sign-off: "Kind regards," or "Best regards," followed by your name.

Structure of the Body

Paragraph 1: Why this role and this employer (specific, researched, genuine)

Paragraph 2: Your most relevant experience and what you bring (evidence-based)

Paragraph 3: Additional relevant point if needed (career context, specific qualifications, enthusiasm for the team or mission)

Paragraph 4 (optional): Brief close expressing interest in discussing further

Font and Appearance

  • Same font as your CV (Calibri, Arial, Georgia, or similar)
  • Font size 10–12pt
  • Comfortable margins
  • No excessive decoration or design elements

The cover letter should look professional and consistent with your CV.

How to Submit

Email applications: The cover letter is typically the body of the email (shorter version) or an attachment alongside your CV. Check the employer's instructions.

Online portals: Most application portals have a dedicated cover letter field or file upload. Use it — a blank cover letter field looks like you could not be bothered.
